Automatic DVD Production
Backstory
The projects run through the VersiDoc system generated massive amounts of data to be delivered. In addition to hundreds of thousands of image files and electronic documents, database load files and metadata needed to be included that associated these files with one another. These files and data were loaded into several different database management systems used by the litigation teams.
Problem
Litigation support teams and their systems both had very specific requirements for the structure and content of document production deliverables.
Some parameters included:
- File naming conventions and directory structure
- Database load file format and contents
- Media (CD, DVD, HDD)
- Media labeling instructions
Off-the-shelf production systems had no facilities to handle any of these requirements. They typically produced output in a pre-defined manner and vendors were forced to write custom scripts or create detailed instructions that project managers had to follow manually to meet customer demands. Simple mistakes like mislabeling a DVD or not properly splitting the contents of a job across multiple DVDs could invalidate days or even weeks of work.
Solution
We designed VersiDoc to process all jobs uniformly and export the final output based on the requirements entered at the beginning of the project. Since each job contained all of the detailed parameters, VersiDoc was able to automatically divide, distribute and create the output to match those parameters. Additionally, we integrated the system with a robotic DVD authoring system to burn and label the media and instruct the shipping department when jobs were ready to be delivered. Our solution spanned software, process and hardware to remove a complicated burden from the staff altogether.
